BOOTH TYPES

NOTE: Each sponsor will be assigned only one (1) booth spot (either a truck booth or a table booth, not both).
Truck booths will be outside in the hotel parking lot and table booths will be inside the hotel meeting space.

Truck Booth:
  • One 20′ x 40′ booth space (multiple trucks can be displayed as long as they fit into the booth space)
  • In booth – 2 chairs and 1 table (6’x30″)
  • Power will be provided via a generator if requested and purchased by deadline (8/7/26)
  • Sponsors are encouraged to pack their own tents with weights for their booth space
Table Booth:
  • One 10’ x 10’ booth space
  • In booth – 2 chairs and 1 table (6’x30″) with linen
  • Power drop, if requested and purchased by deadline (8/7/26)
  • Wi-Fi

GENERAL SERVICE CONTRACTOR

NACDPFG is utilizing Heritage Exhibitor Services as the 2026 General Service Contractor. Heritage Exhibitor Services, has the exclusive responsibility for handling all inbound freight deliveries. The Sonesta Nashville Airport will not accept any shipments or deliveries prior to, during, or after event dates.

SHIPMENTS

Inbound Shipping, Materials Arrival, & Load In

Load in can only be done during official hours – 9/22/26 from 8:00 AM-5:00 PM.
The General Service Contractor, Heritage Exhibitor Services, has the exclusive responsibility for handling all inbound freight deliveries. The Sonesta Nashville Airport will not accept any shipments or deliveries prior to, during, or after event dates. There are 3 options for the delivery of Sponsor materials:

  1. Hand-carry (small materials): Sponsors are permitted to hand-carry materials.
  2. Sponsor Driven (trucks/equipment): The event does not have reserved space in the Sonesta Nashville Airport parking lots for the parking of trucks/equipment until 9/22/26 at 8:00 AM. At that time, onsite staff will direct each sponsor to their assigned spot. Sponsors with any trucks/equipment arriving prior to that will need to make arrangements for parking, key storage, and movement on their own. The reserved space in the parking lot is available from 9/22/26 at 8:00 AM thru 9/23/26 at 5:00 PM.
  3. Advance to Warehouse Shipment to Heritage Exhibitor Services (recommended for multiple boxes, crates, pallets, and non-drivable equipment): All boxes, pallets, and material containers being shipped by truck freight, rail motor freight, or air freight must go through Heritage Exhibitor Services. They cannot be shipped to the Sonesta Nashville Airport. Heritage Exhibitor Services will receive sponsor materials, store materials, deliver materials to sponsor booth, remove empty containers for storage during event, and return empty containers to sponsor booth after event. Sponsors needing this service must complete a Heritage Material Handling Order Form and provide payment. Charges are based on weight and item type. Advanced shipments can begin arriving on 8/24/26 and ALL must be received by Heritage Exhibitor Services no later than 9/15/26. Shipments will be received Monday through Friday between the hours of 10:00 AM and 4:00 PM. All shipments must utilize the required and provided.
Outbound Shipping & Load Out

Load out can only be done during official hours – 9/23/26 from 1:00-5:00 PM. All exhibit materials must be removed from the reserved areas at the Sonesta Nashville Airport by 5:00 PM on 9/23/26. There are 4 options for load out of sponsor materials:

  1. Hand-carry: Sponsors are permitted to hand-carry materials.
  2. Sponsor Driven (trucks/equipment): The event access to reserved space in the Sonesta Nashville Airport parking lots for the
    parking of trucks/equipment ends on 9/23/26 at 5:00 PM. At that time, all Sponsors must have removed trucks and equipment from their reserved spots. Sponsors with any trucks/equipment that needs additional time for parking will need to make arrangements for parking, key storage, and movement on their own.
  3. Outbound Shipment via Sponsor’s Carrier: Materials should be repackaged (in a ready to ship format) by the sponsor and have shipping labels attached. Sponsor will need to schedule the pickup with their carrier and deliver items to the Sonesta Nashville Airport dock. Pickups must be scheduled no later than 5:00 PM on 9/23/26.
  4. Outbound Shipment via Heritage Exhibitor Services: Sponsors needing this service must complete a Heritage Material Handling Order Form and provide payment. Charges are based on weight and item type. Pricing details, contact information, and order forms may be found in the NACDPFG 2026 Heritage Service Manual. All shipped exhibit materials must be marked as directed by Heritage Exhibitor Services and provided to them onsite no later then 5:00 PM on
    9/23/26.

TRUCK/EQUIPMENT DETAILING

NACDPFG is not providing any onsite truck or equipment detailing services. Sponsors should work with local suppliers on their own for any needs. Water will not be available in the parking lot.

SECURITY

To provide a safe space for Sponsor materials, NACDPFG will be providing an onsite security guard at the Sonesta Nashville Airport in the north parking lots used for the trade show truck exhibits beginning 9/22/26 at 5:00 PM (conclusion of trade show setup) and ending 9/23/26 at 8:00 AM (beginning of trade show open hours). During that same timeframe, the inside meeting space containing the table exhibits will be locked. In addition, sponsors should take precautions in the exhibit space to secure items of value. Outside of the hours when security is being provided, NACDPFG is not responsible for the safety or security of sponsor
materials.
